Our Policies

COVID-19 Vaccination Requirement

All campers are required to be vaccinated against COVID-19 by completing the COVID-19 primary series. Families must demonstrate vaccination via the DC Immunization Record or COVID-19 Vaccine Card.
 
Any exemption requests must be made in writing by May 1, and all requests will be processed by June 1. Contact summerhorizons@nps-dc.org to inquire about this process.

 

Please Note: Campers must have received their primary COVID-19 vaccination series to participate in instructional swimming at American University, and no exemptions can be granted for that program.

 

Registration Forms and Fees

Summer Horizons Camp registration opens on January 17. Families must register online through our CampBrain registration website. To register, please click here. Follow the instructions on the registration website to log in and begin an application. If you are new to our camp and school, please be sure to use an email address that you check regularly as our summer correspondence is sent through email.

All families please read below. A follow-up confirmation email is sent to all families once registration is complete. If you do not receive a confirmation email, please call or email Summer Horizons Camp to confirm registration. Registration for all programs is done on a first registered basis.

 

Registration Forms

Online application forms must be completed for each camper. A health form must be completed online by June 1.

Additional paper forms are required if your camper:

  • has an allergy, asthma, or other medical condition (e.g. diabetes, epilepsy)
  • if he/she will need to take any prescription medications while at camp, or
  • if you would like to authorize the camp to dispense any over the counter medications to your child while at camp.

 

Registration Fees

Click here to see all program fees. A deposit is required to submit your registration.

A non-refundable deposit of $150 per week is included in session costs. This fee is non-refundable in the event of session cancellations.

Add-on options (Before and After Care, Instructional Swimming) are nonrefundable and payment is due in full at the time of registration.

 

Registration Deadline

For all programs, the deadline for registration is the Friday at Noon before a session begins on Monday (if space allows).

 

Payment and Refund Policies

Payment is due in full by June 1. 

If circumstances require a family to cancel one or more camp sessions for 2023, the following options are available:

Before June 1:

  • A full refund of tuition paid for 2023 camp sessions, minus a $150/week deposit.

OR (family’s choice)

  • A full credit of tuition paid for 2023 camp sessions, minus a $150/week deposit.

After June 1:

All fees are nonrefundable and nontransferable. No refund or credit will be given.

If circumstances require Summer Horizons Camp at NPS to cancel one or more camp sessions in 2023, a full refund (including the $150/week deposit) will be provided. A partial cancellation will warrant a pro-rated refund. 

Accounts will be automatically charged on June 1 to the credit card on file for the remaining balance, unless prior arrangements are made with camp administration. We accept all major credit cards and checks payable to Summer Horizons Camp at NPS. 

Changes  to your schedule may be made at no charge if the total number of sessions remains the same or is increased. Payments forfeited due to late withdrawal cannot be applied to the next year’s programs. No refunds or credits are given for absences. Failure to submit fees or forms on time may result in registration cancellation. 

If registering after June 1, full payment is required at the time of registration, and all payments made at that time are non-refundable.

 

Email Confirmation

After registration, you will receive email confirmation. Please make sure that the email address associated with your camper’s account is a parent’s email address that is checked often. We will contact you regarding form submission, final payment, and other parent information using the email address associated with your camper’s account. If you do not receive confirmation immediately, please contact the Camp Director.

Registered families will receive a Confirmation Packet in the mail with additional information to help you and your camper prepare for Camp.

 

I just submitted my registration. What's next?

Great! You will receive a welcome packet prior to the start of camp with additional details. We may also contact you via email beforehand. In the meantime, we recommend you read our registration policies and confirm your camp dates -- mark them on your calendar. Save your CampBrain login information, and make sure to complete all electronic and paper forms on time. You can also follow us on Facebook and Instagram for updates, tips, and other fun information. Attendance Policy

Summer Horizons Camp at National Presbyterian School does not discriminate against campers, volunteers, or staff on the basis of race, color, national origin, religion or creed, gender, sexual orientation, family composition, economic status, age, learning style or physical ability. 

Admission to the Summer Horizons Camp program is on a first-come, first-served basis. We reserve the right to dismiss, without refund, any camper who does not comply with the behavioral standards and expectations of Summer Horizons Camp at National Presbyterian School

 

Program Cancellation

Summer Horizons Camp at NPS reserves the right to cancel any program listed due to insufficient enrollment or other extenuating circumstances. Program cancellations made by the camp due to a mandated quarantine according to DC Department of Health guidelines will warrant a full refund of any services not rendered.

Registration Cancellation and Changes

All requests for changes to or cancellation of an existing camper schedule should be made in writing by sending an email to summerhorizons@nps-dc.org. All changes are based on availability.

Absences or cancellations made necessary by quarantine related to travel, testing isolation periods, illnesses, or any kind of appointment will not warrant a refund. 

Payments forfeited due to late withdrawal or absence from a program cannot be forwarded to the next year’s programs.

Scholarships and Financial Aid

Scholarship funds for Summer Horizons Camp participants are available only for current NPS students who receive financial aid. There are limited funds available, so please reach out to apply as early as possible. Waitlists for Programs

Once a program fills, a waitlist for that session is begun automatically through the online registration system. If a program is full you will see the option to register for the waitlist. Make sure you complete all requested information even when registering for the waitlist. No deposit or payment is required for a waitlist program until a space is offered and accepted. Should a space become available, Summer Horizons Camp at NPS will directly contact families on the waitlist to fill the space. A family typically has 24 hours to accept the available space.

 

Toilet Training

Please note that children participating in our programs must be fully toilet-trained. Our youngest campers are frequently provided with reminders and scheduled potty breaks. Classrooms are not equipped with wipes or changing stations for diapers or pull-up training pants and we do ask that these items stay at home. Counselors do not assist with wiping after toilet use. Accidents, however, are common - particularly in the first few days as counselors and campers get adjusted to each other’s schedule. If your camper is in a routine at home, we certainly encourage you to share that information with the counselors for everyone’s combined benefit. Working with parents, our goal is for every camper to have a successful summer. However, because we are not well equipped to deal with frequent accidents, no exceptions will be made in the case that a camper is having multiple accidents a day. In the case that a camper is sent home due to excessive accidents, no refunds are provided.

 

Camper Conduct

Our Core Values are central the behavioral expectations at Summer Horizons Camp at NPS. Adherence to these values, as well as good citizenship and civility, is expected of every camper and adult in the camp community. There will be occasions when the Core Values are not upheld and where the accompanying standards of behavior are not met. Responses to these lapses must help campers improve while still reflecting the age of the camper and the ideals of fair treatment, respect for the individual, and sensitive consideration of each situation. Staff may use verbal warnings or brief time outs for minor disruptive behaviors. Campers who are persistently uncooperative, irresponsible or who commit more serious behaviors may be escorted to the Camp Director and parents may be called as needed to pick up their child and/or speak to the Camp Director. SHC does not tolerate bullying or other aggressive behaviors. Disruptive or inappropriate behavior may also result in suspension or removal from summer programs without a refund.

 

Communications

Once registered, communication to families regarding camp is primarily sent via email. During the registration process, please make certain we have the preferred email address for all parents/guardians. Please notify us of any changes. Communications include welcome emails detailing all program logistics, newsletters containing permission slips, updates regarding weather or carpool changes, payment reminders, and more.
